Function and Conference Policy

Menu selection
We are most pleased to assist you in the choice of you menu. Should you prefer a menu item not listed, please do not hesitate to discuss your selection with us.
Final numbers and confirmed details
Final numbers and details are required 1 week prior to the function date, for your function to go ahead on time. These details then become your final details (see guaranteed numbers and extended hours). For Sunday bookings we especially require a minimum number of 50 adults for either a sit down or buffet menu.

Room hire
Room hire charges are decided upon catering requirements, number of guests attending, and the date requested (room hire does not apply in some cases).

Insurance
The Fraternity Club will not accept responsibility for the damage or loss of property before, during and after a function. Clients will be responsible financially to pay for damages incurred to the Clubs premises during a function.

Cancellations
We require a notice of cancellation in writing. This applies to tentative bookings and confirmations. In the case that your function is cancelled with less than a two months notice, the deposit will only be refundable if the room is re-booked.

Guaranteed numbers and extended hours
We request the final numbers be given one week prior to the function and these numbers will become the minimum that you will be charged for. (Note that quotes are given on a date and number of guests basis, if either change the client may incur a change in the initial quoted price).

Payment
A deposit of 20% is required upon confirmation to hold the booking for you. Full payment by bank cheque or cash is required one week prior to the function, unless previous arrangements have been made.
